Supplier Onboarding: How to Do It the Easiest Way
One supplier sends you an Excel file with thousands of products. Another shares data through an API. A third needs access to update products directly.
Your team has to collect that information, check it for errors and prepare the products for sale. With dozens of suppliers, the work quickly adds up.
The easiest way to manage supplier onboarding is to support different ways of collecting data and use one process to check, correct and approve it.
Bluestone PIM lets you do this through file imports, API integrations and controlled supplier access. Automated checks and AI help your team find problems before products reach your sales channels.
What Is the Best Way to Onboard Supplier Product Data?
The best way to onboard supplier product data depends on how your suppliers work. Some send spreadsheets, others have systems that can share data automatically, and some prefer updating their products directly.
You can support all these approaches in one PIM, without creating a separate onboarding process for each supplier.
| Your supplier's situation | How to handle it |
|---|---|
| Sends Excel or CSV files | Import the files and reuse saved field mappings for future updates |
| Has an ERP or another connected system | Collect product data and updates automatically through API endpoints |
| Needs to update product details manually | Give them access to their own products and let them submit changes for approval |
With Bluestone PIM, all three methods feed into the same product data model, where you can check completeness, identify errors and manage approvals.
How Do You Set Up an Efficient Supplier Onboarding Process?
An efficient supplier onboarding process covers four steps: defining product data requirements, collecting supplier information, checking it for errors and approving products for publication. Automation can reduce the manual work at each stage.
Here's how to set it up in four steps.
1. Define What Information Suppliers Must Provide
Start with the attributes required for each product category. For clothing, this might include sizes, colours, materials, GTINs and product images. Set completeness requirements so you can easily see which products are missing information.
Tip: Ask suppliers for technical details and original product assets. Descriptions and translations can be prepared later.
2. Collect and Organise Incoming Product Data
Let suppliers submit information through files, connected systems or direct access to the PIM.
If a supplier uses different column names in Excel, map them to your product attributes and save the mapping for future imports. For example, their Colour/Design column may correspond to Colour Family in your catalogue.
You can also import product images and link them to the relevant records.
3. Check Data Quality and Fix Errors
Use automated checks to find missing attributes, incorrect formats and inconsistent values.
AI can help identify errors that standard checks may miss. In the Bluestone PIM demo, a product weight was entered as 2300 instead of 230. AI compared it with similar products, suggested removing the extra zero and explained why.
Your team can review suggestions and apply the corrections before products move forward.
4. Review and Approve Supplier Updates
Give suppliers restricted access to update their assigned products and submit changes for approval.
Your team can check the product history to see exactly what changed and who made the update. Once everything is correct, approve the changes for publication or send them back for correction.

Can You Onboard Supplier Data Without Using the PIM Interface?
Yes. With a headless PIM, you can collect, check and update supplier product data through APIs, custom applications or connected AI tools, without relying on the standard PIM interface.
For example, you can build a simple application for your purchasing team that shows products with missing information or data errors. Your team works in that application, and all changes are saved in Bluestone PIM.
You can take this further by connecting an AI assistant through MCP (Model Context Protocol), which allows compatible AI assistants and agents to connect to Bluestone PIM and use its product data and available actions.
Instead of manually searching through thousands of products, you can ask questions such as:
- Which products from Supplier A are missing mandatory attributes?
- Find products with incorrect weights or dimensions.
- Show me supplier products that need attention before approval.
Through MCP, the AI assistant can retrieve product information, analyse records and identify problems. When given access to the relevant actions, it can update product attributes or carry out selected onboarding tasks through Bluestone PIM's APIs.
MCP provides the connection, while Bluestone PIM controls what the AI can access and change. Your team can still review suggested corrections and approve supplier updates before publication.
How Does Supplier Onboarding Work in Practice?
Saint-Gobain Distribution Norway uses Bluestone PIM to manage product information across five operating companies and a catalogue of approximately 600,000 products. Hundreds of suppliers can access a simplified interface to update their own product information. Each supplier sees only the products and attributes they are allowed to edit.
For example, if a product is missing its weight, dimensions or technical specifications, the supplier can add the information directly. There's no need to exchange spreadsheets or emails for every correction.
The internal team can see what has changed, review the updates and approve them before publication. This means suppliers can take care of their own product details, while Saint-Gobain keeps control over data quality and approvals. It cuts down on back-and-forth emails and manual updates for the internal team.
How Can You Get Started With Supplier Onboarding?
Start by reviewing how your suppliers currently share product information. Group them by those who send spreadsheets, those who can connect through APIs and those who need direct access to update their products.
Next, define the information required for each product category and set up checks to catch missing or incorrect data.
Once the basics are working, identify tasks you can automate. Reusing file mappings, checking product completeness and using AI to suggest corrections are good places to start.
You can introduce more advanced workflows through APIs or MCP as your needs grow, without changing how every supplier provides their data.

FAQ
-
Suppliers can enter and update product information through a restricted interface, with access limited to their assigned products and attributes. For Excel or CSV files, your internal team can import the data using saved field mappings. Suppliers cannot currently upload files directly through the supplier editor.
-
Yes. AI can analyse product records, identify possible errors and suggest corrections. For example, it can compare product weights with similar items and flag an unusually high value. Your team can review the explanation and reliability score before accepting the suggested change.
-
Yes. Suppliers with connected systems can send product data and updates through APIs, reducing manual imports. You can combine these integrations with automatic data checks and approval workflows. For more advanced processes, MCP lets compatible AI agents access product information and perform permitted actions.
